Employees (Faculty & Staff)
The Department must complete the search and hire process and then forward on to the Payroll Department the following items:
- Search Papers
- Offer Letter
- Payroll Authorization (must include the Social Security number and date of birth)
When the above paperwork is received in Payroll, it will take approximately 5 days to issue a NetID. Below is an outline of the systems and department flow.
- Payroll: Enter the individual's data into GENESYS (2 Business Days)
- Systems: GENESYS feeds to the ID-System (1 Business Day)
- Systems: ID-System feeds to PEOPLETEXT and HUSKYMAIL (1/2 Business Day)
At this time the employee can find their NetID on the web page https://netid.uconn.edu if they know either their employee number or student administration (PeopleSoft) number. Otherwise, they can call the UITS Help Center (860.486.4357, select option #3) for assistance.
Next,
- Systems: PEOPLETEXT feeds to the PERSONAL NAME system (same day, 2 to 3 jobs run) as well as ‘pick up’ feeds from miscellaneous UITS accounts.
- Systems: ID-System feed to Active Directory, active directory account and employee e-mail (Exchange) account are enabled. (1 Business Day)
Special Payroll Appointees
The department must complete the search and hire process and then forward on to Payroll the following items:
- I-9 (includes the Social Security number and date of birth)
- Offer Letter
- Payroll Authorization
When the above paperwork is received in Payroll, it could be entered the same day; however, during busy times of the year it could take approximately 2½ to 3 weeks. Special Payroll entries are processed into Genesys with priority given to effective dates (employee start dates) within 2-week cycles. If a deadline is missed the process could be delayed until the next cycle. Below is an outline of the systems and department flow:
- Payroll: Enters the individual's data into GENESYS (same day to 2 weeks)
- Systems: GENESYS feeds to the ID-System (1 Business Day)
- Systems: ID-System feeds to PEOPLETEXT and HUSKYMAIL (½ Business Day)
At this time the employee can find their NetID on the web page https://netid.uconn.edu if they know either their employee number or student administration (PeopleSoft) number. Otherwise, they can call the UITS Help Center (860.486.4357, select option #3) for assistance.
Next,
- Systems: PEOPLETEXT feeds to the PERSONAL NAME system (same day, 2 to 3 jobs run) as well as 'picks up' feeds from miscellaneous UITS accounts.
- Systems: ID-System feed to Active Directory, active directory account and employee e-mail (Exchange) account are enabled. (1 Business Day)
Note: Employees registered as UConn students do not automatically receive an employee e-mail account. If it is desired, the student/employee must telephone the UITS Help Center (860.486.4357, select option #3) to request one.
NOTE: If a special payroll NetID is needed sooner it is best to contact Human Resources for assistance.
Affiliates
The Department must contact Human Resources and provide them the following information:
- Full Name
- Date of Birth (DOB)
- Social Security Number (SSN)
Once the above information is provided to Human Resources, it will take approximately 3½ days to issue a NetID. Below is an outline of the systems and department flow:
- Human Resources: Enter the individual's data into GENESYS (2 Business Days)
- Systems: GENESYS feeds to the ID-System (1 Business Day)
- Systems: ID-System feeds to PEOPLETEXT and HUSKYMAIL (½ Business Day)
By this time the sponsor should have received an email from HR confirming the account has been created and providing the Payroll ID. The email directs the affiliate to the web page https://netid.uconn.edu to find the NetID and to contact the UITS Help Center (860.486.4357, select option #3) for assistance.
- Systems: PEOPLETEXT feeds to the PERSONAL NAME system (same day, 2 to 3 jobs run) as well as ‘pick up’ feeds from miscellaneous UITS accounts.
Note: Affiliates are not automatically issued an employee e-mail account. If it is desired, the affiliate sponsor must telephone the UITS Help Center (860.486.4357, select option #3) to request one.
